Every business gets a bad review eventually. What matters is how you respond. Future customers read your reply as much as the complaint, and a calm, helpful response can turn a negative review into proof of good service. This guide shows you how to respond to negative Google reviews, with templates you can adapt. For the bigger picture, see our Google Maps ranking guide.
Why Your Reply Matters
- Shoppers read replies to judge how you treat customers
- Replies show Google your profile is active
- A good response can win back the reviewer
- It builds the trust we explain in The Trust Formula Behind Successful Business Brands
7 Rules for Responding
- Reply quickly, ideally within 24-48 hours
- Stay calm and never argue or blame
- Thank the reviewer and acknowledge the issue
- Apologize where appropriate without admitting things that are not true
- Offer a solution and move the conversation offline
- Keep it short and professional
- Never share private details about the customer or order

When to Report a Review
You can flag reviews that include spam, fake engagement, off-topic content, hate speech, conflict of interest or personal information. Disagreeing with the rating is not a valid reason. Removal is not guaranteed, so always reply professionally as well.
What Not to Do
- Don’t reply in anger or sarcasm
- Don’t offer money for removal of a review
- Don’t ask the reviewer to change their rating in the public reply
- Don’t ignore the review
Prevent Negative Reviews
Most complaints come from missed expectations, so set clear timelines, communicate often and follow up after delivery. Then keep adding positive reviews using the methods in How to Get More Google Reviews Without Breaking the Rules. More positive reviews reduce the impact of any single bad one.
